Welcome to the O2 Treehouse Team! We are so excited that you have joined the O2T family and we can’t wait to work with you!
First things first - a bit of history! O2 Treehouse was created by Dustin Feider almost two decades ago with the vision to connect more people with nature through building compelling architectural forms in the trees that lend people the opportunity to spend more time ‘dwelling’ in the outside world. This is still at the core of our mission. Today, after having built over 80 unique structures around the globe - and a heap of growth in 2020 - we find ourselves poised to be able to bring the treehouse experience to more people than ever before… we are thrilled beyond belief and so excited that you have joined our journey!
We strive to foster a safe environment in every sense to give our entire team the opportunity to thrive. We have an open door policy - if you have something to say, please speak up!
There are a lot of moving parts due to the unique nature of what we do, so awareness and communication are absolutely essential to the smooth running of our operations. If you’re not sure about something, please ask. Be sure to know both who you are responsible for communicating with on a daily basis, and what parts & pieces you are responsible for managing and relaying, to ensure that you are never a disconnected link in the chain.

Contractor agreements & W9/Taxes
Important paperwork information!
Before your first day of work at O2 Treehouse, and before every first day on a new project for O2T, you will be required to sign a new Contractor and Job Description Agreement - these are required on a per project basis.
Prior to your first payment from O2T, you are required to fill and sign form W9 or provide the information via Quickbooks. You only need fill this out once unless your name, address or TIN (SSN or EIN) changes - in which case please send us your new information before the end of the tax year.
We will send these documents for signature via Dropbox Sign “formerly HelloSign”, along with our company manual signature page - so please keep an eye out for the emails!
TIME TRACKING and BILLING
You are required to track your time spent on each project. The HR/time tracking system we use is QuickBooks, the mobile application Workforce. You will receive an invite to join prior to your first day. If you do not receive an email, please contact Angela - angelatorres@o2treehouse.com. It is essential that you submit accurate hours so that we are able to track real project spend and bill our clients appropriately.

A walkthrough of QuickBooks time tracking on the Workforce mobile app!
Before you begin any work at O2T, download the “Workforce” app from your app store and make sure you’re familiar with how to track your time and submit your bi-weekly time sheet. This ensures that you will get paid the right amount and on time.
Setting up quickbooks accounts and GETTING PAID
O2 Treehouse pays all contractors on a biweekly schedule. Payment processing takes 1-2 weeks after the subject labor period closes. This can result in payments taking up to 4 weeks to arrive in your bank account after your first work day. Thank you for your patience.
If you find yourself wondering, where is my payment? This tidbit from Brianna might prove to clear your confusion and provide the answer! Make sure to complete these QuickBooks action items before you begin work.
Reimbursement & receipts
To be reimbursed for expenses: Please post photos of receipts for any purchases made out of pocket to on the #reimbursements channel on Slack. Angela will make sure you are reimbursed and these payments are separated from your taxable income.
For purchases made on a company card - upload photos of the receipts/invoices to the #receipts channel on Slack, and follow the below instructions.
When making a purchase for the company, please follow these steps:
1. Add a PO# to the purchase when possible - use the Client or Project Name in place of a # (if a client has multiple projects in progress, be specific!)
2. Write the Project name directly on the receipt or invoice.
3. Upload a picture of the receipt to the #receipts channel on Slack.
4. Turn in physical copies to invoice basket in office.
ALL PURCHASES MUST BE UPLOADED. If there is no receipt/invoice, a screenshot or message will suffice with store name, date, project name/s, and total purchase amount. If multiple projects were purchased for at once, provide detail regarding how much was spent for each project.
Your Availability
If you need to take any days off during the course of a project, you are required to both let your lead know, and also add the dates to our Staff Availability Google Calendar.
You will receive an email invite to contribute dates to the calendar. Click the link to join and it will be added to your Google calendars. Add any dates that you know you will need off during the course of your currently contracted project/s.
KEY TEAM TOOLS
Project management VIA monday.com
We use an app called Monday for project management and task organization. We will receive an invite to use Monday.com. Please follow the link to setup your account asap. Once your account is setup, we will invite you to boards for all projects that you are working on. Using Monday is fairly intuitive but if you have any issues or questions, don’t hesitate to ask your lead for help in getting familiar.
TEAM COMMUNICATION VIA SLACK
Slack is our team communication hub. Please strive to funnel all project communication through the proper channel/thread on Slack - rather than text. This helps to ensure that everyone assigned to a project stays on the same page. You will receive an invite to join our team on Slack. Please follow the link to setup your account asap. Once you have, we will assign you to threads for all projects that you are working on.

COMPANY MANUAL - OVERVIEW
It is extremely important that every team member carefully read through our policies and procedures manual, in order to have a solid understanding of how the company operates from sales lead to project completion. The manual also goes over essential human resources information.
